1. Introduction
EquiCore Technologies Holdings, Inc., including its subsidiaries and affiliated entities, including EquiCore Technologies Platform, LLC (collectively, “EquiCore,” “Company,” “we,” “us,” or “our”), operates the EquiCore App and related services (the “Platform”).
EquiCore provides digital infrastructure for equine-assisted service providers, including outcome tracking, assessments, scheduling, reporting, payments, and analytics.
We are committed to protecting user information while maintaining compliance with applicable privacy laws, including the Health Insurance Portability and Accountability Act of 1996 (“HIPAA”), where applicable.
 
2. Scope of This Policy
This Privacy Policy applies to:

  • Practitioners

  • Clients / Participants

  • Facilities

  • Institutional partners

  • Website visitors

  • Business partners

It governs data collected via:

  • The EquiCore App

  • Website

  • Practitioner dashboards

  • API integrations

  • SMS/email communication
     

3. Roles Under HIPAA
EquiCore functions as:

  • A Technology Platform Provider

  • A Business Associate, where applicable

  • Not a healthcare provider

  • Not a covered entity unless expressly contracted

Practitioners using EquiCore are responsible for:

  • Determining whether they are Covered Entities

  • Obtaining client consent

  • Ensuring lawful use of Protected Health Information (PHI)

  • Executing a Business Associate Agreement (BAA) with EquiCore when required

EquiCore will execute BAAs only with qualifying Covered Entities.
 
4. Information We Collect
A. Practitioner Information

  • Name, license, certifications

  • Business information

  • Billing information

  • Subscription data

  • Practice metrics
     

B. Client / Participant Information

  • Intake forms

  • Assessment results

  • Session notes

  • Emotional tracking metrics

  • Demographics

  • Payment records
     

C. Automatically Collected Information

  • IP address

  • Device information

  • Browser type

  • Usage logs

  • Cookies

  • Analytics behavior
     

D. Aggregated / De-Identified Data
We may aggregate and de-identify user data for:

  • Research

  • Product improvement

  • Industry reporting

  • Statistical analysis

  • Investor communications

De-identified data is not considered PHI.
 
5. How We Use Information
We use collected information to:

  • Provide and improve the Platform

  • Generate outcome reports

  • Support grant documentation

  • Enable scheduling and billing

  • Provide analytics dashboards

  • Enhance product features

  • Communicate with users

  • Enforce Terms of Service

  • Comply with legal obligations
     

6. Data Storage & Security
EquiCore implements administrative, technical, and physical safeguards, including:

  • Encryption in transit (TLS 1.2+)

  • Encryption at rest (AES-256 or equivalent)

  • Role-based access controls

  • Audit logs

  • Multi-factor authentication

  • Secure cloud infrastructure

  • Limited employee access controls
     

However, no system can be guaranteed 100% secure.
Users acknowledge and accept inherent technology risks.
 
7. Data Retention
We retain data:

  • For the duration of active accounts

  • As required by law

  • As necessary for legitimate business purposes

  • For backup, audit, or compliance needs
     

We may retain de-identified data indefinitely.
 
8. User Rights
Depending on jurisdiction, users may have the right to:

  • Access their data

  • Request correction

  • Request deletion (subject to legal retention requirements)

  • Request export of records

  • Opt out of non-essential communications

9. Payments & Financial Data
Payments are processed via third-party payment processors. EquiCore does not store full credit card information.
Users agree to third-party processor terms.
 
10. Third-Party Integrations
EquiCore may integrate with:

  • EHR systems

  • Billing platforms

  • Payment processors

  • Analytics providers

  • Communication tools
     

EquiCore is not responsible for third-party privacy practices.
 
11. No Medical Advice
EquiCore provides technology tools only.
We do not:

  • Provide medical care

  • Provide therapy

  • Offer clinical advice

  • Guarantee outcomes
     

Practitioners are solely responsible for clinical decisions.
 
12. Limitation of Liability
To the maximum extent permitted by law:
EquiCore shall not be liable for:

  • Clinical decisions

  • Practitioner negligence

  • Misuse of data

  • Data breaches caused by user actions

  • Indirect, incidental, or consequential damages
     

Liability is limited to fees paid in the preceding 12 months.
 
13. Changes to This Policy
We may update this policy at any time. Continued use constitutes acceptance.
